What we translate, by field

Document translation succeeds or fails on subject-matter fit: the linguist who renders a distribution agreement well is rarely the right choice for a device manual. We assign every document to native-speaking translators who work in that field daily — and each specialty below is backed by a dedicated practice:

Legal: contracts and agreements, corporate governance, litigation documents, patents, and compliance filings. Medical & life sciences: protocols, regulatory submissions, IFUs, and patient materials. Technical: user manuals, specifications, SDS sheets, and engineering documentation for clients such as Trimble, Topcon, and Nissan. Business & financial: reports, statements, marketing materials, and employee handbooks. Government: language-access materials and agency documents under SAM-registered, WBENC-certified contracting. Education: transcripts, diplomas, and district communications.

How your documents are translated

Every business document runs through a two-linguist workflow: a native-speaking subject-matter translator, then an independent editor who reviews the full text against the source (TEP). We build a glossary of your terminology on the first project and maintain a translation memory of approved translations at no charge — so your contracts stay consistent across years, your updates are billed only for what changed, and the linguistic assets remain yours. Formatted files come back laid out to match the original, from Word and Excel through InDesign, FrameMaker, XML, and localization formats like XLIFF and JSON; PDFs and legible scans are rebuilt, not just overwritten.

What document translation costs

Professional human translation runs $0.09–$0.40 per source word in 2026, driven by language pair, subject matter, accuracy tier, and turnaround; certified documents are billed per page. Repetitions and translation-memory matches are discounted, which is why recurring document work costs meaningfully less by year two. We keep the full rate discussion — ranges by language, discount grids, negotiation levers — in one place: the 2026 translation rates guide. Procurement teams comparing several vendors should also take our free Translation RFP Toolkit, which makes per-word quotes comparable before you sign.

Confidential by contract, not by promise

Business documents are sensitive by definition — deals, disputes, designs, personnel matters. We sign NDAs, extend confidentiality to every linguist who touches your files, keep handling US-based, and put in writing what many vendors will not: no free public machine-translation tools ever touch client content. Health information is handled under BAAs; financial documents are restricted to the named project team. If your security team has a questionnaire, we are used to completing it.

Why companies choose us for document translation

We are a family-run, women-owned (WBENC) firm, registered in SAM.gov, ATA members, with most of our linguists on board for over ten years. Clients from prestigious law firms to government agencies and manufacturers stay with us because the work is delivered in-house, the terminology stays consistent, and the guarantee is real: unlimited revisions until the translation meets your approval. Document translation: frequently asked questions

1. How much does document translation cost?

Professional human translation runs $0.09–$0.40 per source word depending on language pair, subject matter, and turnaround; certified documents are billed per page at $30–$55. Repetition and translation-memory discounts lower the total on recurring work. Full ranges and negotiation levers: our translation pricing guide.

2. How long does document translation take?

Plan on roughly 2,500 words per business day per language including a second-linguist review, plus a day for layout on formatted files. A 10-page contract is typically 2–3 business days; multiple languages run in parallel. Same-day and 24-hour tiers are available through our urgent translation services.

3. What is the difference between standard and certified document translation?

Standard translation is for business use: contracts, manuals, reports. Certified translation adds a signed certificate of accuracy for authorities that require it — courts, USCIS, universities, licensing boards — and is billed per page. If you need certification, start at our certified translation services page.

4. Can you translate PDFs and scanned documents?

Yes. We work from editable files, PDFs, and legible scans. For scanned or designed documents we rebuild the layout so the translated file mirrors the original — tables, stamps, signatures noted — and deliver print-ready output.

5. Which file formats do you support?

Office formats (Word, Excel, PowerPoint), PDF, InDesign (IDML), FrameMaker, HTML/XML, and software and localization formats such as XLIFF, PO, JSON, strings, and SRT — plus translation-memory exchange formats (TMX, TBX). If your format is unusual, send a sample and we will confirm handling.

6. How do you keep our documents confidential?

NDAs on request, confidentiality that extends to every linguist who touches your files, secure US-based handling, and a written ban on free public machine-translation tools for client content. For health information we execute BAAs; for financial documents we restrict access to the named project team.

7. Do you use AI or machine translation on business documents?

Not silently. Our standard workflow is human translation with a second-linguist review (TEP). Where post-edited machine translation is appropriate for high-volume, low-stakes content, we propose it explicitly as a separate tier with its own rate — you always know which workflow you are buying.

8. Do we get a discount on updated versions of the same document?

Yes. We maintain a translation memory of your approved translations at no charge, so revised handbooks, contracts, and manuals are re-billed only for changed text at reduced rates — and the memory is yours, delivered on request.

9. Which languages do you cover?

More than 200, led for US businesses by Spanish, Chinese, French, German, Portuguese, Japanese, Korean, and Arabic. Every project is translated by native speakers of the target language with subject-matter experience. See the full language list.

10. How should we compare document translation vendors?

On workflow, security terms, and normalized cost — not the headline per-word rate. Our free Translation RFP Toolkit includes the vendor scorecard, question bank, and bid normalizer professional buyers use to make quotes comparable.
